Lack of Formal Policies Undermines Up to $1.1M Annual Savings from Shared-Use Mobile Devices

Shared-use mobile devices are delivering millions in savings to healthcare systems, but a lack of formal management policies is eroding their full value, according to the 2025 Imprivata State of Shared Mobile Devices in Healthcare: Insights, Risks, and Solutions Report. The study, which surveyed 400 IT and clinical leaders across the U.S., Canada, the U.K., and Australia, found that while healthcare organizations save an average of $1.1 million annually through shared mobile programs instead of 1:1 or BYOD models, those with fully implemented policies see a 63% greater ROI: $1.4 million compared with $860,000.

Despite widespread adoption—92% of healthcare leaders call shared mobile devices “essential” to care delivery and 99% expect usage to rise in the next two years—44% of respondents say their organization has no formal policy to manage them. As noted in a recent TechTarget article, this governance gap is linked to costly challenges, including device loss (23% annually), security risks (79% of staff share credentials and 74% leave devices signed in after use), and workflow inefficiencies (13 minutes per shift to assign devices).

“Every second counts in healthcare, and delays caused by outdated mobile workflows aren't just frustrating—they can lead to lapses in care coordination, delayed treatment, or missed information, making them potentially dangerous,” said Dr. Sean Kelly, Imprivata Chief Medical Officer and a practicing emergency physician at Beth Israel Deaconess Medical Center, in a press release announcing the report.

The report warns that without stronger oversight, healthcare organizations risk undermining not only the financial benefits of shared mobile devices, but also the intended gains in clinician satisfaction, burnout reduction, and patient care.

These findings underscore the importance of implementing comprehensive, policy-enforced management systems. That includes smart hubs and device charging hubs to keep equipment ready for use, as well as managed mobility services to streamline updates and support. Identity-driven authentication, automated asset tracking, and secure device lifecycle processes increase ROI and protect against loss, strengthen compliance with HIPAA and other privacy laws, and support mobile health initiatives.
